- Add Availability to a Pull-from-Calendar(s) Location
Add Locations to a Case
After opening a newly-created Case, you will see a blank list of Locations, as shown below. Click "Add Locations" to create a new location.
There are two types of Locations available - Locations with Manually Added availability, and Locations with Pull from calendar(s) availability. We will demonstrate how to use both in this article.
It is possible to create multiple locations all at once, as shown below
After pressing "Add Locations", these Locations will then be visible on the case Locations view as shown below
Adding Availability on a Manual Availability Location
Note: Manual availability is also sometimes referred to as "Fixed" availability
To create availability for the first time on a Manual Availability Location, you must press the"Set Up" button shown in the Edit Availability column
Note: After the initial setup is completed, the button will be gray, and it will read "Edit" instead of "Set Up"
Press the "Add Sub-Location" button to create a new Sub-Location.
You will then be able to see the newly-created Sub-Location, which by default has no availability.
To add availability for this Sub-Location, press the blue "Add Availability" button. Doing so will open a pop-up window "Availability Management Demo". This window, allows you to customize Start and End Date, Start and End Time, meeting slot Length (unless this setting is locked on a per-case basis), Limit, and whether or not to exclude weekends. Participants controls which internal users should receive notifications when an external participant signs up for the time slot.
"Limit" is the cut-off number of how many external participants can sign up for an individual time slot. Example:
- With "1", only one person can use the timeslot.
- With "5", five people can use the same timeslot.
After hitting the blue "Save" button, you can now see the availability that you added on the Sub-Location calendar view as shown below.
Adding Availability on a Pull from Calendar(s) Location
Note: Pull from calendar(s) availability is also referred to as dynamic, calendar-based, or automatic availability.
To create availability for the first time on a Pull from calendar(s) Availability Location, you must press the"Set Up" button shown in the Edit Availability column.
Note: After the initial setup is completed, the button will be gray, and it will read "Edit" instead of "Set Up".
Then press the blue 'Add Sub-Location' button
You will then be prompted to enter the name or email address of the user you want to configure as a Sub-Location
After adding the user as a new Sub-Location, availability for that sublocation will then match the availability indicated on the user's calendar. For example:
